Acceptable Use Policy

1. Introduction

This Acceptable Use Policy ("AUP") sets out the rules for using the Tutor Volt platform at tutorvolt.ai and tutorvolt.co.uk (the "Platform"). This policy applies to all users, including students, teachers, parents, and administrators.

This AUP forms part of our Terms of Service. By using the Platform, you agree to comply with this policy. Failure to comply may result in action against your account, up to and including termination.

2. General Rules for All Users

All users of the Platform must:

• Use the Platform only for its intended educational purpose
• Treat all other users with respect and courtesy
• Provide accurate information when creating and maintaining their account
• Keep their login credentials confidential and not share them with any other person
• Report any concerns about content, conduct, or safety to the appropriate contact (see Section 8)
• Comply with all applicable UK laws and regulations

All users must NOT:

• Bully, harass, intimidate, or threaten any other user, whether through the Platform's messaging features, AI chat, or any other means
• Use hate speech or discriminatory language based on race, ethnicity, religion, gender, sexual orientation, disability, or any other protected characteristic
• Upload, share, or transmit illegal content, including but not limited to child sexual abuse material, terrorist content, or content that incites violence
• Impersonate another person, whether a real individual or a fictitious identity, with intent to deceive
• Spam other users with unsolicited messages, advertisements, or promotional material
• Attempt to access accounts, data, or systems they are not authorised to access
• Reverse-engineer, decompile, or disassemble any part of the Platform
• Use automated tools (bots, scrapers, crawlers) to access the Platform without our express written permission
• Circumvent or disable any security, authentication, or content moderation features
• Upload malware, viruses, or any other harmful code

3. Rules for Students

In addition to the general rules above, students must:

• Use their real name when their account is linked to a school. Nicknames or pseudonyms are not permitted for school-linked accounts
• Not share their login with friends, siblings, or anyone else. Your account is personal to you
• Report concerns to a teacher, parent, or through the Platform's reporting tools if they see anything that makes them uncomfortable or worried
• Not attempt to trick or manipulate the AI tutor into generating inappropriate, harmful, or off-topic content. The AI tutor is designed to help you learn -- please use it for that purpose
• Not share personal information (home address, phone number, photographs) in AI chat conversations
• Not copy or share quiz answers or assessment content with other students in a way that undermines academic integrity
• Use the AI tutor honestly -- do not use it to complete homework assignments that are meant to be done independently, unless your teacher has said it is allowed

4. Rules for Teachers

In addition to the general rules above, teachers must:

• Ensure content accuracy -- Review all AI-generated content for accuracy, appropriateness, and curriculum alignment before publishing it to students
• Not modify or disable AI safeguarding features -- The content monitoring and safeguarding systems are in place to protect students. Teachers must not attempt to bypass, disable, or weaken these protections
• Protect student data -- Access student data only for legitimate educational purposes. Do not export, share, or use student data for any purpose outside the Platform
• Report safeguarding concerns immediately through the Platform's reporting system or directly to the Designated Safeguarding Lead at [email protected]
• Maintain professional boundaries in all interactions on the Platform
• Not use the Platform to communicate with students outside of the educational context or outside of school hours, unless the school's policies permit it
• Keep their professional qualifications and DBS status up to date on their profile

5. Rules for Parents and Guardians

In addition to the general rules above, parents and guardians must:

• Respect their child's age-appropriate privacy settings -- While parents have oversight of their child's learning, they should respect the boundaries set by the Platform for age-appropriate independence
• Not access or attempt to access other children's data, progress reports, or account information
• Not share information about other children (including screenshots, progress data, or assessment results) obtained through the Platform
• Support the Platform's educational purpose -- The parent dashboard is designed to help you support your child's learning, not to monitor or control every interaction
• Provide accurate consent -- When providing parental consent for children under 13, ensure the information you provide is accurate and up to date
• Notify us promptly if their child's circumstances change in a way that affects their account (e.g. change of school, change of guardian)

6. Rules for Administrators

In addition to the general rules above, school administrators must:

• Use administrative access responsibly -- Admin tools provide broad access to school data. This access must be used only for legitimate administrative purposes
• Maintain data protection standards in line with the school's own data protection policies and the Data Processing Agreement with Tutor Volt
• Not grant administrator access to individuals who do not require it for their role
• Ensure staff training -- All staff at the school who use the Platform should be familiar with this AUP and the school's own acceptable use policies
• Report data breaches or suspected security incidents immediately to [email protected]

7. Consequences of Breach

We take breaches of this policy seriously. The consequences depend on the severity of the breach and follow a graduated approach:

7.1 Graduated Response

7.2 Immediate Action

For serious breaches involving child safety, illegal activity, or imminent harm, we reserve the right to take immediate action (including suspension or termination) without prior warning. In such cases, we will notify the relevant school, parents, and authorities as appropriate.

7.3 School-Level Action

Where a breach involves a school-linked account, we will notify the school and work with them to determine the appropriate response. Schools may impose additional consequences under their own policies.

8. Appeals Process

If you believe that action taken against your account was unjustified or disproportionate, you may appeal:

1. Submit an appeal in writing to [email protected] within 14 days of the action being taken. Include your name, account details, and the reasons you believe the action was unjustified.
2. Review process: Your appeal will be reviewed by a member of our team who was not involved in the original decision. We aim to respond within 10 working days.
3. Outcome: The reviewer may uphold the original decision, reduce the severity, or reverse it entirely. You will receive a written explanation of the outcome.
4. Further recourse: If you are dissatisfied with the appeal outcome, you may escalate the matter to [email protected] for a final review by a senior member of the team.

For students under 18, a parent or guardian may submit the appeal on their behalf.

9. Reporting Concerns

If you witness or experience any behaviour that breaches this policy, please report it:

All reports are treated confidentially. We do not tolerate retaliation against anyone who reports a concern in good faith.

10. Monitoring

To maintain the safety and integrity of the Platform, we monitor activity including:

• AI chat conversations (automated safeguarding monitoring for all student interactions)
• Content uploads and publications
• Account access patterns and security events

Monitoring is conducted in accordance with our Privacy Policy and is proportionate to the legitimate aim of safeguarding users and maintaining the Platform.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated to users at least 30 days before they take effect. Continued use of the Platform after the effective date constitutes acceptance of the updated policy.
